Definitions
Client: as identified by invoice, or order processed through the website.
Stationer: Mathilda Lundin Calligraphy
Project: Bespoke invitation orders, Semi-custom invitation orders or Bespoke branding orders
Product: Prints, cake toppers, vow books etc.
Please see below my Terms and Conditions. Upon placing an order through Mathilda Lundin Calligraphy website, making a deposit payment and accepting work to start you are accepting these terms.
Feedback.
Bespoke invitations and branding designs includes up to 3 rounds of proofing and changes. Semi-custom invitations includes 1 round of proofing and changes. Any further rounds of feedback will incur my hourly rate of £35. Please note that the more rounds it takes, the longer your completion date will be pushed back. Please aim to make your proofing changes in under 4 rounds, or your mail date will have to move back by 1 week or more for each round. We estimate the completion time of each project and base our own workflow on that average. If proofs or information is not turned around in a timely fashion, your workflow may be subject to interruption by other standing projects.
If at any time, the job changes to an extent that substantially alters the specifications as described in the original estimate, we will submit a proposal revision memo to you and a revised fee will be agreed upon by both the Client and the Stationer before we will more forward with the project.
Proofing.
It is extremely important that you thoroughly check your proofs for correct times, dates, and spelling of all words, including names and places, in addition to the design elements. Once final approval for the Final Proof is received, you are giving the Stationer the permission to print/calligraph all pieces as they appear on your Final Proof. Once approved, no changes can be made and the Stationer will not be held responsible for any errors found after your approval. If rewrites are needed this will be added to your final invoice along with a £20 setup fee.
Address Lists.
Please triple check all spelling and etiquette. Layout your address lists centred. This helps the Stationer centre and layout the envelopes as perfectly as the Stationer can. Any time spent reformatting your addresses will be charged at an hourly rate.
Guest Lists and Wedding Day Details.
It is the Client’s responsibility to provide a spell checked guest lists, content and material (if applicable) for all Wedding day details by the deadline given to the Client. The deadline is usually 6 weeks before the event date unless otherwise stated. If you cannot meet that deadline an alternative deadline can be agreed upon with the Stationer, please note that this may incur an additional rush fee. Any information provided late will incur a rush fee and may push the delivery day forwards. Any changes made after the job has been completed will incur a £20 set up fee.
Extra Materials and non-paper materials
If the Client is providing the materials the Stationer ask that they provide 20% extra materials. I am only human and ink splatters do happen. If the Stationer is writing on items such as leaves, shells, wood or any other organic matter you can think these items must be provided to the Stationer cleaned and ready to write on.
Deposits and payment.
All contracts will be required to pay 50% of the project cost before work can begin. Your initial deposit is due upon acceptance of the contract. The remaining 50% of the project cost is required to pay after the design has been approved before the items are printed and shipped to you. All shipping costs will be totalled onto your final invoice. If the Client product is needed quickly, the rush shipping fee will be reflected on the final invoice. Billing will reflect the actual costs incurred. Valid for only 30 days from date on estimate. Client requested changes will be billed additionally. The client will be notified of any price changes and any remaining balance will be due at the time of completion.
All contracts valued under £100 will be required to pay 100% of the project cost before work can begin.
Calligraphy and the post.
As with any mass mailing, you are likely to have 1-3% of your pieces be undeliverable. Please check your address list carefully to ensure all your addresses are correct to minimise this effect. The Stationer is not responsible for resending, reprinting or reimbursing for invitations or addresses that do not make it to their intended address.
Delivery.
The Stationer uses Royal Mail Special Delivery or Parcelforce which are tracked and insured for delivering all orders. Larger pieces will be send via a courier. All delivery fees will be added to your final invoice. If you are local collection is welcome but must be pre arranged. The Stationer accepts no responsibility for items lost in the post or delayed due to circumstances out of our control. For international deliveries the Stationer will source the best form of postage. Please note that goods posted outside the UK may be subject to local custom charges. The Stationer accepts no responsibility for delays in shipping or duty charges.
Copyright Ownership.
Unless purchased by the Client, the Stationer owns all copyrights in any and all work(s) it creates or produces pursuant to any applicable laws of the United Kingdom and the European Union (as applicable), including but not limited to the Copyright, Designs and Patents Act 1988 (as amended from time to time), whether registered or unregistered. Any and all products, whether tangible or intangible, produced or created in connection with, or in the process of fulfilling this Agreement, are expressly and solely owned by the Stationer who creates the materials and may be used by the Client in the reasonable course of fulfilling this Agreement going forward. Client may ship, display and enjoy the work(s) Stationer creates for Client but Client may not under any circumstances alter or sell all or part of these work(s). For example, Client may not hire Stationer to create wedding invitation suites and use any of the artwork on the suites on additional artwork or stationery, such as menus, sandwich boards, guest charts or other work(s). If Stationer’s work is misappropriated, Client understands and accepts that Client will be invoiced for these additional work(s).
Release.
Client has spent a satisfactory amount of time reviewing Stationer’s work or past client reviews and has a reasonable expectation that Stationer’s Services will produce a reasonably similar outcome and result for Client. Stationer will use reasonable endeavours to ensure Client’s services are carried out in a style and manner consistent with Stationer’s current portfolio and services, and Stationer will try to incorporate any suggestions Client makes. However, Client understands and agrees that:
- Every client and final delivery is different, with different tastes, budgets, and needs;
- Calligraphy is a subjective service and Stationer is a provider with a unique vision, with an ever-evolving style and technique;
- Stationer will use its personal judgment to create favourable results for Client, which may not include strict adherence to Client’s suggestions;
- Dissatisfaction with Stationer’s independent judgment or individual management style are not valid reasons for termination of this Agreement or request of any monies returned.
- Printing can result in small variations. Minor differences in texture, colour, size and positioning can sometimes occur and are not classed as a fault. Please be aware that colours appear differently on screens to paper.
- For handmade paper invitations the Stationer cannot guarantee the colour, look, texture and size will be identical to any samples the client has purchased. Handmade paper may vary in various elements upon manufacturer’s discretion and is considered part of the paper’s charming character.
Cancellations.
Agreement will continue until final Services are delivered by Stationer and the Client’s balance is paid in full. If Client desires, implicitly or explicitly, to cancel Services for any reason prior to either of these events, it is within Stationer’s discretion to grant a partial or full refund but Stationer is not obligated to do so. This will be based on the amount of work completed. The client agrees to accept the Stationer’s good faith estimate of how much work has been completed. If Stationer attempts to contact Client three or more times in the period of a month and is not successful in receiving a meaningful response, this is considered an unreasonable delay. Upon cancellation or unreasonable delay, all outstanding fees are immediately due and payable to Stationer. In the unlikely event of the order being cancelled by the Stationer the Client will be given a full refund.
Data Protection.
All information collected from you is confidential and will only be seen by Mathilda Lundin Calligraphy and our printing partners if necessary. We will only ever ask you for the information we need for your order and shipping. Your information and data (including address list, guest list and wording for your stationery) will be deleted 90 days after the final job completes.
